What is an AI agent, and how is it different from a chatbot?
An AI agent is a system that uses a language model to pursue a goal and can take actions in your business apps, for example recording a request in your CRM. An AI chatbot only answers questions from your company information. We choose access, limits and checks based on what you need.
What can an AI agent automate in a small business?
An AI agent can move requests from email into your CRM, send confirmations and reminders on WhatsApp, extract invoice data or prepare recurring reports. The agent prepares the work, and your team approves the important steps, such as quotes, payments or sensitive replies.
How much does AI automation cost for a business?
The cost of AI automation depends on the apps involved, data access, the process rules and the volume of work. Besides implementation, there are monthly costs for hosting, AI model usage and, where relevant, WhatsApp messages. We agree on scope and costs before we start, usually with a pilot on a single process.
How long until the first AI automation works?
The first agreed workflow can be running within 7 days of us receiving the access and data we need. More complex workflows, with several apps or approvals, take longer; we set the timeline after seeing the process.
Do I need to replace my current apps?
No. AI automation starts from the apps you already use: email, CRM, spreadsheets, invoicing software or WhatsApp. We check what connections they allow, through an API or import and export, and what access is needed, then propose the right solution for your process.
Do you work with n8n, Make or Zapier?
We mostly build workflows with n8n, because it can run on your company's server and you keep control of your data. For the AI part we use models such as OpenAI or Claude. The right choice depends on the process, the volume and who maintains the workflows after launch.
What stays under your team's control?
Important decisions stay with people. We agree on approval points together: the automation prepares information or the next step, and your team checks quotes, exceptions and any action that commits the company to a customer.
Do I have to tell customers they are talking to an AI?
Yes. The AI Act requires that people know when they are talking to an AI system, such as a chatbot on your website or WhatsApp, unless it is obvious from the context. A good workflow says clearly that an AI assistant is replying and how the customer can reach a colleague.
Can digitalisation funding pay for AI automation?
Sometimes, yes. Regional SME digitalisation programmes can fund software, AI solutions and their implementation, with your own contribution. Eligibility depends on the open call and its applicant guide, so check it with an EU funding consultant before you ask for quotes.
What happens after I describe my process?
We read your request and get back to you to clarify the need and the apps involved. Then we decide together whether and where it is worth starting, usually with a pilot on a single process, with clear scope and costs.
