SALES & MARKETING
Lead automation for businessesEvery new lead has an owner and a next step.
A prospect fills in your form on Friday evening. By Monday morning, their details are in an email, in the ads platform and maybe twice in the CRM. We build a workflow that brings leads into one place, assigns them to a salesperson and reminds them to follow up.
I have a process like thisSales and marketing teams receiving leads from the website, paid campaigns, phone calls or events.
A PROCESS THAT COULD WORK BETTER
Where does the time go?
A lead matters most in the first few hours, which is exactly when it passes through the most hands. Details are copied from different platforms, the same contact appears twice, and without a clear owner everyone assumes someone else has called. The source gets lost, and you no longer know which campaign brought the customer.
Start with your main sources and the stage where most leads are lost. Agree the required fields, the assignment rules and what a qualified lead means for your team.
WHAT CAN BE AUTOMATED
What automation can take on
We choose together where it makes sense to start.
Capture from every source
Website forms, campaigns and emails reach the same CRM, with source and campaign preserved, where the platform allows access.
Duplicate checks
Before creating a new contact, the workflow searches by email, phone or company registration number. An existing contact is updated, not duplicated.
Assignment and notification
Each lead gets a salesperson based on clear rules: region, product or availability. The owner is notified by email, in the CRM or on WhatsApp.
Timely follow-up
If a lead has no activity within the agreed time, the workflow reminds the salesperson and, if agreed, the manager.
WHAT WE BUILD TOGETHER
How it could work in your business
The example is adapted to your team's apps and rules.
- 01
Capture the lead
A submitted form or a new campaign lead starts the workflow. Source, date and the consent given in the form are kept.
- 02
Clean and enrich
Phone numbers and emails are standardised, duplicates are checked and, where useful, company details are added from public sources, for example by registration number. The AI assistant can summarise the customer's free-text message.
- 03
Assign and follow up
The lead reaches the right salesperson in the CRM, with a contact task. The workflow checks for activity and flags leads left without a reply.
CLEAR LIMITS. HUMAN CONTROL.
What stays under human control
Leads are not rejected automatically based on an AI score, and missing company or budget details are not invented. Qualification follows agreed rules and the salesperson can correct it. Leads are contacted only on the channels and for the purposes they agreed to.
A PRACTICAL STARTING POINT
What we need to start
- Your lead sources and approximate volume
- Your CRM fields and assignment rules
- What a qualified lead means and how quickly it should be contacted
We choose tools after checking access and requirements. This list does not imply an active integration or a partnership.
BEFORE IMPLEMENTATION
Questions about this process
Which CRMs can be connected?
We check the API or integrations your CRM offers, whether it is a well-known platform or an in-house system. The proposal starts from what your app allows.
Does AI decide which leads are good?
AI can summarise the message and suggest a category. Qualification follows your rules, and the salesperson can always correct it.
What about leads from Facebook or Instagram campaigns?
Where the platform allows, we capture leads directly from campaign forms, together with the campaign name. We check access to the business account before setup.
